Membership Terms and Conditions

of Membership to The International Cancer Imaging Society (ICIS)

These Terms and Conditions apply to all memberships purchased through the ICIS website or by any other payment method accepted by ICIS.
 
Definitions
 
The following definitions apply in these Terms and Conditions unless otherwise specified:
 
“ICIS” – The International Cancer Imaging Society.
“Member” – Any individual whose application for membership has been accepted by ICIS and whose membership fee has been paid in full.
“Membership” – The category of membership purchased by an individual, together with any benefits associated with that membership category as determined by ICIS from time to time.
“Membership Period” – The period of validity of a membership, as specified on the ICIS website at the time of purchase.
“Working Days” – The days on which the ICIS Office is contactable by email, usually Monday to Friday between 09:00 and 17:00 (GMT/BST), excluding public holidays observed in England.
 
1. The Contract Between ICIS and the Purchaser
1.1 ICIS must receive payment of the full membership fee before membership can be activated.
1.2 Once payment has been received and membership approved where applicable, ICIS will confirm membership by email to the address provided during the application process.
1.3 ICIS acceptance of an application and confirmation of membership creates a contract between ICIS and the Member.
1.4 ICIS reserves the right to refuse any membership application at its sole discretion. In such circumstances, any membership fee paid will be refunded in full.

 

2. Membership Fees
2.1 Membership fees are published on the ICIS website and may be amended by ICIS from time to time.
2.2 Membership fees are payable in advance and in full.
2.3 Membership fees are non-transferable and may not be assigned to another individual.
2.4 Any discounts, concessions or other special membership categories may require supporting documentation. ICIS reserves the right to request evidence of eligibility at any time.

 

3. Membership Benefits
3.1 Membership benefits are those advertised by ICIS at the time of purchase and may include, but are not limited to:
 
Reduced registration fees for ICIS educational events;
Access to member-only educational content and resources;
Access to ICIS communications and publications;
Eligibility for member-specific grants, awards, or opportunities where applicable.
 
3.2 ICIS reserves the right to modify, withdraw, replace, or introduce membership benefits at any time where reasonably necessary for operational, financial, or strategic reasons.
3.3 Membership benefits have no cash value and cannot be exchanged for monetary compensation.
 
4. Membership Renewals
4.1 Membership is valid for the Membership Period stated at the time of purchase.
4.2 Members are responsible for ensuring that their membership remains current by renewing before the expiry date.
4.3 Where automatic renewal is offered and selected, the Member authorises ICIS to collect the applicable renewal fee using the payment method provided.
4.4 Members may cancel automatic renewal at any time before the renewal date through their online account or by contacting the ICIS Office.

 

5. Right to Cancel Membership
5.1 A Member may cancel their membership within fourteen (14) days of purchase, provided no membership benefits have been substantially used.
5.2 Requests for cancellation must be submitted in writing by email to [email protected].
5.3 Where cancellation is requested within the fourteen-day ‘cooling off’ period and no membership benefits have been substantially used, ICIS will refund the membership fee less an administration fee of £20.
5.4 Once membership benefits have been accessed or utilised, including but not limited to obtaining member-rate registrations, accessing member-only educational content, or making use of any exclusive membership benefit, no refund will ordinarily be available.
5.5 After the initial fourteen-day cancellation period, membership fees are non-refundable.
5.6 Membership remains active until the end of the Membership Period unless terminated under these Terms and Conditions.

 

6. Termination of Membership by ICIS
6.1 ICIS reserves the right to suspend or terminate membership where:
 
a) Membership fees remain unpaid;
b) A Member has provided false, misleading, or inaccurate information;
c) A Member engages in conduct that may reasonably be considered detrimental to ICIS, its members, delegates, faculty, staff, volunteers, reputation, or objectives;
d) A Member breaches these Terms and Conditions.
 
6.2 ICIS will normally provide written notice of any suspension or termination and may provide an opportunity for the Member to respond.
6.3 Membership terminated under this clause will not ordinarily be eligible for a refund.
 
7. Member Responsibilities
7.1 Members must ensure that all personal and professional information supplied to ICIS remains accurate and up to date.
7.2 Members are responsible for maintaining the confidentiality of any account credentials provided for access to member services.
7.3 Access to member-only content and resources is strictly personal and must not be shared, distributed, reproduced, or made available to third parties without prior written consent from ICIS.

 

 8. Intellectual Property
8.1 All educational materials, publications, digital resources, website content, and other materials provided by ICIS remain the intellectual property of ICIS or its licensors.
8.2 Membership does not grant ownership of any intellectual property rights.
8.3 Members may not reproduce, distribute, modify, publish, sell, or commercially exploit ICIS materials without prior written permission.

 

9. Liability
9.1 Save as precluded by law, ICIS shall not be liable for any indirect or consequential loss, damage, costs, or expenses arising from membership or the use of membership benefits.
9.2 ICIS does not guarantee uninterrupted access to online services, websites, educational platforms, or digital resources.
9.3 Nothing in these Terms and Conditions excludes or limits ICIS liability for death or personal injury resulting from negligence, fraud, or any liability that cannot be excluded under applicable law.

 

10. Communications and Notices
10.1 Unless otherwise expressly stated, all notices from Members to ICIS must be submitted in writing by email to: [email protected]
10.2 Members consent to receiving membership-related communications electronically.

 

11. Privacy
11.1 Members acknowledge and agree to be bound by the terms of the ICIS Privacy Policy.  Privacy Policy – International Cancer Imaging Society – ICIS
11.2 Personal data will be processed in accordance with applicable UK data protection legislation and the ICIS Privacy Policy.

 

12. Circumstances Beyond the Control of ICIS
12.1 ICIS shall not be liable for any failure or delay in providing membership services resulting from circumstances beyond its reasonable control, including but not limited to natural disasters, pandemics, governmental actions, industrial disputes, cyber incidents, infrastructure failures, or other force majeure events.

 

 13. Disputes
13.1 Any dispute concerning membership, fees, benefits, suspension, termination, or refunds shall be referred in the first instance to the ICIS General Manager.
13.2 If the matter remains unresolved, it may be referred to the Chair of the ICIS Executive Board whose decision shall be final.

 

 14. Invalidity
14.1 If any provision of these Terms and Conditions is found to be unenforceable or invalid, the remaining provisions shall remain in full force and effect.

 

 15. Governing Law
15.1 These Terms and Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.
15.2 The courts of England and Wales shall have exclusive jurisdiction to resolve any dispute arising from these Terms and Conditions.

 

 16. Entire Agreement
16.1 These Terms and Conditions, together with the ICIS Privacy Policy and current membership fees published by ICIS, constitute the entire agreement between ICIS and the Member.
16.2 No statement made by any representative of ICIS shall be deemed to vary these Terms and Conditions unless confirmed in writing by ICIS.
